Position Overview
The International Logistics Coordinator would directly support the International Market Manager in processing incoming requests from international partners and clients, as well as exclusively completing the documentation of such orders for shipment to ensure on-time delivery and adherence to regulations to avoid delays in transport. This position will be responsible for completeness and accuracy of all shipping documentation for international shipments.
Essential Job Functions
- Independently prepares correspondence, export documents, forms, etc. Responsible for establishing and maintaining official documents and records in appropriate files.
- Assists with pricing, shipping quotations/status and communicating with customers accordingly.
- Requests and manages quotations for international shipping as required for international customers through freight forwarders, FedEx (Toolbox software), LTL truck freight providers (for initial domestic shipping), etc.
- Support Shipping and Operations Teams by reconciling related invoices and insuring rebilling of such when shipping is provided through SIFCO ASC.
- Serve as a liaison for assigned orders, projects, shipping quotations and provides necessary support to positively impact sales and on-time delivery goals.
- Prepare complete export documentation packet as needed and communicate same to Shipping Department. Works to resolve any related issues cross-departmentally (Sales, Customer Service, Shipping, etc.), as well as with shipping providers and international agents / customer.
- Evaluates and audits Export Compliance Process to ensure that all appropriate documentation follows US & foreign government regulations and industry best practices.
- Additional projects as needed.
Essential Job Requirements
- Fulfillment of quote requests from international agents / partners, international direct customers, and US-based resellers / international distributors as related to shipping estimates .
- Provides support for order fulfillment through shipment.
- Responsive to phone and email requests from customers.
- Provides post-shipment support including order related documentation, logistics, coordination with freight forwarder, customer follow-up and concerns.
- Ability to read, analyze, and interpret a variety of instructions furnished in written or oral form including work documents and quality specifications/standards.
- Demonstrated knowledge of basic measurement tools.
- Demonstrated knowledge of basic mathematics.
- Qualifications:
- Undergraduate degree in logistics or business or a minimum of 5 years of comparable international work experience that includes a working knowledge of international shipping
- Specific experience with and preparation of documentation required for international shipment, including – Commercial Invoice, Export Packing List, Shipper’s Letter of Intent, Certificates of Origin, USMCA, KAFTA, etc.
- Knowledge of FedEx shipping software required
- Knowledge of Hazardous material shipping regulations (DOT, IATA, IMDG) required. Current certification per these regulations a plus.
- Experience with international freight forwarder a plus
- Excellent written and oral communication skills
- Self-directed with outstanding follow-through
- Ability to logically solve problems with little supervision
- Demonstrate discretion in handling and communicating sensitive information
- Willingness to work under pressure in a dynamic environment
- Bilingual beneficial
- Proficiency with Microsoft Word, Excel, Power Point, and Access.
- Experience with ERP and CRM software beneficial. Must be able to gather, analyze and present information to customers and management.
Physical Requirements
- Ability to sit for long periods of time.
- Requirements to include standing, walking, reaching, and lifting.
- Indirectly exposed to toxic or caustic chemicals.
- The employee is occasionally exposed to fumes or airborne particles.
- The noise level in the work environment is usually moderate.
